Deposits
How to Create a Deposit
Select the large Select Account Button
or select File - New Deposit from the menu bar. If you already have an account set-up, use the arrow down button to select the desired account.

If you don't have any accounts or need to add an account, select the yellow plus button.
After selecting an account, you will see a blank deposit slip in the upper portion of the main screen with the bank and account information.

Payee (required)
Start by entering the payee name. A drop down payee list will display the closest match as you type (soft-seek). If the payee name is new and does not appear on the drop down list select ENTER on your keyboard. If the payee appears on the drop down press the ARROW DOWN button on your keyboard to highlight the name. Select ENETR to save and move to the next field. 
Amount (required)
An amount can be any positive number between .01 and 999,999,999.99. Select ENTER to save and move to the next field.
Type of Check
Check type can be: Personal, business, cashiers, money order, cash or other.

Other Name (optional)
This optional field is very helpful when there are two payers or if the payee is an individual from a company or organization. The other name can be the company/organization or the individual. The same soft-seek rules apply as the Payee field.
Check Date (optional)
The default setting is today's date. To change the default date from today's date (every time you move into this field) to "no date" select Preferences-Auto Check date On/Off. Many landlords and mail order companies use today's date rather than the actual check date because the payment date is when the check is received not when dated or mailed. You can edit a check date or deposit date directly on the deposit slip. See Edit a Deposit below.

Check Number (optional)
This number is usually located on the upper right corner of a check. We highly recommend using this field.
Memorandum (optional) & Miscellaneous (optional)
These two identifier fields are used to help identify what the payment was for. The Real Estate business type uses Unit/Apartment and Rental Period. The non-profit type uses Event and Memo. The same soft-seek rules apply as the Payee field.
Field Hold Feature
A very useful feature for business/organizations who receive the same check amounts or the same memo fields is Hold Field Value. This feature is available on check amount, memo and miscellaneous. Double click on the field label. When the field label is red, the last typed value will be saved for the next check. This is very useful in mail order companies when receiving many checks for the same amount or for landlords who apply all rent checks for "December 2005" as pictured below.
Note: Field hold is removed in Edit Mode

Status Indicators
There are four status indicators: Late, Redeposit, Partial (payment) and ReturN. If a check is returned you should edit (see below) the original deposit transaction and select Return to indicate that the check bounced. Redeposit is used when a returned (bounced) check is redeposited.

Type of Check
There are 3 general categories of a check/cash deposit:
Income, Non Income and Transfer
Number of Items
This is the number of checks and does not include cash.
When all check details/items are entered select Add.
When all checks are entered in a deposit select File-Save.
Delete a Deposit
Select Maintenance-Deposits. Select the deposit that you want to delete. Select Delete from the menu bar. If this option is dimmed you must first select File - Clear All from the menu bar. Note: Deleting a deposit can't be undone.
Save a Deposit
Select File - Save Deposit Slip from menu bar.
Open/Edit an existing Deposit
Every deposit detail can be edited. Open a deposit by selecting Maintenance-Deposits from the menu bar. Double Click the payee you wish to edit. EDIT MODE will appear. After editing a payee select APPLY. Cash and Deposit Date are edited directly in their respective fields. After completing all deposit edits select File -Save from the menu bar.

Locate a Deposit
Select Maintenance-Deposits from the menu bar. Then select search.
